Windy Ruby LLC (“timka.”, “we”), based in the Chicago area, Illinois, USA, runs timka.studio and its client portal. This policy explains what information we collect, why, how long we keep it, and how to have it removed.

What we collect

• Contact and quote forms: your name, email, phone, company, the service you are interested in, your budget and your message, plus your IP address and the time you sent it.
• Client portal: your name, email, phone, title, company and billing details; your briefs, messages, approvals and change requests; files you upload and files we deliver; invoices and payments; the date you accepted these terms; sign-in times and the device’s IP address.
• Job applications: your name, contact details, location, portfolio or LinkedIn link, cover letter and the CV or files you upload.
• Payments: card payments are handled by our payment provider (Stripe). We receive the amount, date and a reference — never your full card number. Bank transfers show us the payer name and reference your bank sends.
• Cookies: one session cookie that keeps forms secure and keeps you signed in. The brief form can save your unsent draft in your own browser. We do not use advertising or tracking cookies.
• Server logs: like every website, our server records the address, browser and page of each request for security and troubleshooting.

Social media accounts connected to timka OS

When a business connects a Facebook Page or an Instagram professional account to timka OS so we can manage it, we receive and store the account’s public name, username, ID and link, an access token limited to the permissions granted, and performance figures for the account and the posts we publish. We use this only to publish approved posts and to report results. We do not read private messages or collect information about individual followers. The business can disconnect at any time in timka OS or in its Facebook settings.

How we use it

• To answer you, prepare quotes, deliver projects and send the emails that belong to them (sign-in codes, quotes, review requests, invoices).
• To keep accounts and payments secure and to prevent spam and fraud.
• To keep the business records the law requires (invoices, payments, tax).
• To review job applications.

We do not sell your information and we do not use it for advertising.

Who can see it

Our team and the contractors working on your project, under confidentiality. Service providers that run parts of the business for us: our hosting provider (Spaceship, USA), our email provider, our payment provider (Stripe) and, when you use them, social platforms (Meta). Authorities only when the law requires it.

How long we keep it

• Project files in the portal: up to 30 days (see our terms) — please keep your own copy.
• Account, briefs, messages and project records: while you are a client and for up to 3 years after our last project.
• Invoices and payment records: as long as tax law requires (usually 7 years).
• Contact-form messages that did not become a project: up to 2 years. Job applications: up to 12 months.

Your choices

• Ask what we hold about you, or ask us to correct or delete it — through the contact form or a message from your portal. See how to delete your data.
• Update your profile at any time in the portal.
• Unsubscribe from non-essential emails by telling us; sign-in codes and invoices are part of the service.

Security

The site runs on HTTPS. Sign-in uses one-time codes, files are only available to your account or through the share links you create, and our team accounts are protected by two-factor authentication where available. No system is perfect; if something goes wrong we will tell the people affected.

Children

Our services are for businesses and adults. We do not knowingly collect information from children under 13.

Changes

We may update this policy; the date at the top shows the latest version. Important changes are shown in the portal before you continue.
